We are seeking a professional and customer-focused Medical Imaging Receptionist to join the team at Vision Radiology in Coburg. This is a full-time position that plays a vital role in ensuring smooth operations at our medical imaging facility. As the first point of contact for our patients, you will be responsible for creating a welcoming environment whilst managing administrative tasks that support the efficient running of our radiology services. This role is essential to our commitment to providing exceptional patient care and maintaining high standards of service delivery.

Key responsibilities

  • Greeting patients and visitors with professionalism and warmth, ensuring a positive first impression

  • Managing patient check-ins, including collecting patient information, verifying insurance details and updating medical records

  • Scheduling and coordinating imaging appointments, ensuring optimal appointment flow and minimal wait times

  • Processing patient payments and managing financial transactions accurately and securely

  • Maintaining confidentiality of all patient information in accordance with privacy legislation and company policies

  • Responding to telephone enquiries professionally and directing calls to appropriate staff members

  • Managing reception area operations, including cleanliness, organisation and the ordering of supplies

  • Liaising with patients, referring doctors and clinical staff to ensure smooth communication

  • Documenting patient interactions and maintaining accurate administrative records

  • Supporting the team with general administrative duties as required

What we're looking for

  • Proven experience in a reception or front-desk role, ideally within a medical or healthcare environment

  • Strong communication and interpersonal skills with the ability to interact professionally with diverse patient groups

  • Proficiency with computer systems and medical reception software, or the ability to quickly learn new systems

  • Excellent organisational skills with the ability to manage multiple tasks and priorities in a busy environment

  • Attention to detail and accuracy when handling patient information and financial transactions

  • Professional telephone manner and ability to handle enquiries with patience and empathy

  • Understanding of patient privacy and confidentiality requirements, particularly HIPAA or Australian privacy legislation

  • Ability to work collaboratively as part of a healthcare team

  • Reliable and punctual with a commitment to providing outstanding customer service

  • Current knowledge of medical imaging procedures and radiology services is advantageous but not essential
