About the Role

We are seeking an innovative Executive Assistant (EA) to provide high-level executive coordinator and support across the CEO, COO, CSO and CFO on a part-time (4 days per week) basis.

This role is responsible for coordinating executive workflows, governance processes, and communication across portfolios, ensuring alignment with Strategy 2030 and the Board Business Plan.

The position plays a critical role in:

  • Supporting Board and Committee governance processes

  • Coordinating Executive Leadership Team (ELT) cadence and priorities

  • Ensuring visibility, follow-through, and alignment across executive actions

  • Improving the efficiency and effectiveness of executive operations

Operating with a high degree of autonomy, discretion and judgement, the role requires strong organisational capability, systems thinking, and the ability to manage competing priorities in a complex and evolving environment.

This role will be mostly onsite, with some flexibility for WFH on occasion.

About you

What you'll bring

  • Significant demonstrated experience in a similar role supporting senior executives (a relevant qualification will be highly regarded).

  • Exceptional interpersonal and communication skills, with the ability to build and maintain effective and productive working relationships and represent MTHC to diverse stakeholders (internal and external).

  • Outstanding written and verbal communication skills, including the ability to draft correspondence, reports, and other documents within agreed timelines with clarity and precision.

  • Demonstrated experience in diary management, travel coordination, and meeting organisation, with the ability to be flexible and use initiative to problem-solve.

  • Strong understanding of corporate governance principles and the ability to provide support for board and committee meetings.

  • Understanding of quality, risk and safety principles and the ability to provide support to ELT with quality initiatives.

  • Proven ability to exercise discretion, maintain confidentiality, and demonstrate sound judgment in handling sensitive information.

  • Strong commitment to fostering a positive and inclusive workplace culture, with the capacity to work autonomously and as part of a team.

  • Excellent computer skills including all key Microsoft Office products.

Desirable

  • Experience in a multidisciplinary healthcare organisation or complex medical environment.

  • Experience in overseeing budgets and expenses.

  • Experience in developing internal processes and systems.

Melbourne Teaching Health Clinics (MTHC) is a not-for-profit, wholly owned subsidiary of the University of Melbourne and provides world-class clinical training opportunities for the Faculty of Medicine, Dentistry and Health Sciences students. It also provides patient access to high-quality health care for members of the Victorian community, within a private practice setting.
