Are you an organised, proactive and people-focused administrator looking for a meaningful role where your work genuinely makes a difference?

At Adapt OT, we provide Occupational Therapy services across Geelong and surrounding regions, supporting people through the NDIS and other funding streams.

We are looking for a reliable and detail-oriented part-time Administration Assistant to support our growing team and help ensure the smooth delivery of services to our clients. Work hours are flexible; we are seeking someone to work 15-18 hours per week across 3 days (negotiable).

This is a varied and rewarding role suited to someone who enjoys working in a fast-paced environment, thrives on organisation, and values being part of a supportive and collaborative workplace.

About The Role

As our Administration Assistant, you will provide day-to-day administrative support to the clinical and operational team. Your responsibilities will include but are not limited to: 

  • Setting up and maintaining accurate client records

  • Managing plans and plan amendments within organisational systems

  • Uploading client documentation and photos

  • Supporting administrative tasks within the NDIS portals

  • Preparing service agreements and forms for electronic signatures

  • Liaising with referrers and other stakeholders

  • Assisting staff with general office administration and resource preparation

  • Support the coordination and referrals for Therapy Assistants

  • Minute taking and supporting team administration functions 

You’ll play an important role in keeping our systems, staff and client services running efficiently.

About You 

We’re looking for someone who is:

  • Highly organised with excellent attention to detail

  • Confident using Microsoft Office, databases and SharePoint

  • Able to manage competing priorities and work independently

  • Friendly, professional and a strong communicator

  • A team player who enjoys supporting others

  • Experienced in administration (health or NDIS experience highly regarded)

  • Availability to work approximately 15-18 hours per week. Days and hours are negotiable 

  • Current Working with Children Check, National Police Check and myID to connect with government services (or willingness to obtain)
